Privacy policy
This notice explains how Quantus AI Limited uses personal information when you visit this website, contact us about our services or book a discovery call.
Who is responsible
Quantus AI Limited is the controller of the personal information described here. We are registered in England and Wales, company number 16252923. Our registered office is 77 Spilsby Road, Boston, England, PE21 9NX. For privacy questions or requests, email info@quantusai.co.uk.
Information we use
If you email us, we receive your email address, your message and any other information you choose to share, such as your name, business and preferred call times. Please keep an initial enquiry brief and avoid sending sensitive personal information or confidential customer records.
If you book through Google Calendar, we receive your first and last name, email address and appointment details, including the selected date, time and time zone. We use this information to manage your booking and communicate about the call.
Our hosting provider, Cloudflare, processes technical information needed to deliver and protect the website. This can include your IP address, request details, browser or device information and security logs.
Why we use it
We use enquiry and booking information to respond, arrange and manage a conversation, send appointment communications and consider whether we can help. Our lawful basis is our legitimate interest in handling business enquiries and communicating with prospective customers. Where you ask us to take steps before entering a contract with you as an individual, we may rely on those pre-contract steps instead.
We rely on our legitimate interest in providing a reliable, secure website for technical website processing. We may also retain information when necessary to meet a legal obligation or establish, exercise or defend legal claims.
Discovery-call bookings
Our booking link opens an external Google Calendar booking page. Google Calendar is not embedded in this website. The booking form asks for your first name, last name and email address; you also choose an available appointment and time zone. Google handles the booking, confirmation and calendar invitation, including Google Meet joining details.
You can cancel using the link in your confirmation email. To change the time, use any rescheduling option provided there, or cancel and book another available appointment. You can also email info@quantusai.co.uk for help arranging or changing a call. An email enquiry alone does not reserve a slot.
When you use Google's booking page or join a Google Meet call, Google also processes service and device information and the information you share during the meeting, such as your display name, audio, video or chat. Its privacy policy explains this processing and your controls.
Cookies and tracking
We do not add analytics, advertising cookies, tracking pixels or session-replay tools to this website. We do not use a contact form. Hosting and security services may process technical request information to deliver and protect the site. For information about Cloudflare's processing, see its privacy policy.
Following the booking link takes you to Google's website, where Google's own cookies, settings and privacy information apply.
Service providers and international processing
We use Cloudflare for website hosting and delivery, Zoho Mail for business email, and Google Calendar and Google Meet for appointment scheduling, calendar communications and video calls. These providers process information needed to supply their services. Information may also be disclosed where the law requires it or where necessary to protect legal rights.
Cloudflare operates internationally and may process information outside the UK. Its data processing terms provide safeguards for restricted UK transfers, including standard contractual clauses with the UK Addendum where applicable. Zoho's EU email service stores service data in the EU; limited access from other countries may be needed for support, as described in Zoho's privacy information. Contact us if you would like more information about the safeguards relevant to your information. Zoho's privacy policy explains its own processing.
Google operates services internationally, so booking and meeting information may be processed outside the UK. Google's privacy policy explains its international processing, retention and transfer safeguards. Contact us if you would prefer to arrange an initial conversation by email.
How long we keep information
We keep enquiry correspondence and appointment records while dealing with your request or call and for any related follow-up that you would reasonably expect. When deciding whether they remain necessary, we consider whether the enquiry is active, whether a business relationship continues, and whether records are needed for legal obligations or claims. We review information and delete it when it is no longer needed. Technical information and information processed by service providers for their own purposes are retained under their relevant service, security and privacy policies. We do not create a separate marketing database from website enquiries or bookings.
Your choices and rights
Depending on the circumstances, you can ask for access to your information, correction, deletion, restriction of use or a portable copy. These rights are subject to the conditions and exceptions in data protection law.
You have the right to object to processing based on legitimate interests. Email info@quantusai.co.uk to make a request. You do not have to contact us, but without contact details and enough information about your request, we may be unable to respond or arrange a call.
If you are concerned about our handling of personal information, please contact us. You can also complain to the Information Commissioner's Office, the UK data protection regulator, on 0303 123 1113.
Changes to this notice
We will update this page if our website or enquiry handling changes. Any additional use of personal information for an agreed consultancy engagement will be explained as part of that engagement.
